This position is the department admin that supports the Fleet Support and Systems Engineering organization, which includes direct and matrix reporting employees.This position requires frequent communication with all levels of management as well as salary and hourly personnel.
The Administrative Aide is expected to perform the following duties:
- Handle department communications, including answering phones, sending emails, and submitting IT requests
- Prepare and process internal and external documents, including telecommunications requests.
- Maintain departmental organizational charts, training records, and phone lists.
- Manage departmental meetings, including scheduling, sending invites, and booking conference rooms.
- Assist in developing department presentations.
- Coordinate travel arrangements, including visit requests, bookings, and expense reporting.
- Support in-processing new hires/out-processing severances.
- Manage and order departmental supplies, including copier paper and toner.
- Submit facility requests for personnel moves and equipment/material issues.
- Maintain and upload content to the department webpage.
- Coordinate department service awards.
- Prepare correspondence for internal and external stakeholders.
- Prepare basic and formal correspondence with the customer (NAVSEA)
- Perform other administrative and office support functions as needed.
Position directly supports the manager, supervisors, and employees of Fleet Support and Systems Engineering. This is a full-time on-site position during first shift 7:30 AM - 4:00 PM.

- Ability to work with web based, distributed, or cloud based systems
- Ability to accept multiple assignments, prioritize work to complete on time, seek manager or supervisor input when priority conflicts arise
Qualifications
Required:
- High School diploma or equivalent
- 2-5 years of administrative experience in an office environment
- Experience working with Microsoft Office (Outlook, Word, Excel, and PowerPoint) including scheduling meetings, formatting documents, data entry, and presentations
- Candidate must demonstrate error free word processing capabilities (45 wpm minimum)
Preferred:
- Post-secondary education
- Experience supporting technical or engineering fields
- Familiarity with web based administrative tools (e.g., SharePoint, Concur)
- Experience handling formal correspondences
- Experience with corporate travel coordination and expense reporting
